Information for New Faculty

You will receive three letters of information via email during the summer. They are sent out in June, July, and August, and all contain valuable information and deadlines, so please review them carefully.

You should have access to your email and network accounts. Please contact Kim Curran if you do not have that access.

Moving Expenses

Moving Expenses can be reimbursed by completing this form. Please upload a sheet summarizing all expenses and supporting receipts. Reimbursement requests submitted without supporting documents could result in a delay in processing your reimbursement. As of 2018, all moving reimbursements are considered taxable benefits according to the U.S. Internal Revenue Service.

Moving Expense reimbursements are paid through payroll disbursement and must be submitted no later than the Friday of the first week of August in order to receive reimbursement with the August pay.  Moving expenses submitted after the first week of August will not be reimbursed until the September pay.

Items needed for the August orientation for new faculty:

1. Bring at least one of the following types of Identification:
   • Passport
   • Both a Driver’s license and social security card
   • Both a driver’s license and a certified copy of your birth certificate
2. Beneficiary’s social security number for beneficiary designations for life insurance plans
3. Proof of your terminal degree (official transcript from degree-granting institution sent via email to Kim Curran)

Campus ID Cards

The Faculty/Staff Picture Identification Card is issued at the time of employment for the exclusive use of the employee. Please apply for your ID Card.

Your unique Denison “D” number will show up on the front of your Denison ID Card. This card serves a dual purpose as an identification for Denison staff members and an activity card, enabling the holder to use the automated library circulation system, use all athletic facilities (including swimming and the weight room), and attend, without charge, home athletic events. Your ID card is also used for card key access to some areas on campus. The card also provides access to Denison Dollars.

Presentation of this card is required when using the automated library circulation system and all athletic facilities, including swimming and the weight room. The Vail Arts Series, various lectures and theater presentations are also open to employees. There may be a charge for some events. Your ID card is also used for card key access to some areas on campus. The card also provides access to Denison Dollars.

Denison Dollars

You can load your Denison ID Card with funds to be used at various areas on campus. These funds are called Denison Dollars and can be used for purchases at the Bookstore, Slayter Union, Curtis and Huffman Dining Halls, as well as laundry services, vending machines and Whits Frozen Custard in Granville.

Your hiring department will take care of submitting paperwork to order your office or building key(s) and an email will be sent to you when the key(s) are ready. At that time you may pick up keys at the Facilities Building. If you’ve not been to the Facilities Building, when you receive your notification email you can click on the Facilities Building and a map will give you directions.

Important: The deadlines for computer selections are June 26, 2026, for Fall 2026, and Dec. 11, 2026, for Spring 2027.

When will I receive my first paycheck?

You will receive your first paycheck on Aug. 25, and on the 25th of every month thereafter.

When will my health insurance benefits begin?

Health benefits apply on the starting day of your contract after your employment paperwork has been completed with Human Resources. This is typically done on the first day of New Faculty Orientation.

What is BigRedID?

Every BigRedID is unique and serves as your username for many Denison services. It is also referred to as your username and serves as the front portion of any Denison email address (e.g., BigRedID@denison.edu It is used to login to various services that Denison provides such as:

• DenisonApps (Google-powered email, calendar, etc.)
• Interfolio
• MyDenison
• Canvas
• Student computer registration
• Password change services

Who do I call regarding technology assistance, such as setting up a Canvas course?

The first place to call with any technology-related question is the Service Desk (740-587-6395). If you have teaching or research technology needs, please contact your instructional technologist. If you do not know who your instructional technologist is, please visit Department Liaisons.

I’m asked to allow students to observe their religious holidays, but how do I know when those holidays are?

What are the student travel procedures?

Information regarding student travel procedures can be accessed in MyDenison.

Who do I contact if a student either cheats on an examination or has plagiarized a paper?

As is indicated in Denison’s Student Handbook, available through MyDenison, instructors must refer every act of academic dishonesty through the Advocate Symplicity reporting system. Violations may result in failure in the course, suspension, or expulsion. For more information about an academic incident go to Academic Integrity.

What do I do if I have questions about an issue and don’t know who to ask?

Check with your department chair, the department administrative support, or a senior colleague.
